Delegate Management for the ALP Roadshows
Background
Make Our Day Events was approached to provide roadshow delegate management services during bookings for a series of roadshows run by the Association of Labour Providers in April 2010. The roadshows took place in London, Coventry, Manchester, Grantham, Perth and Taunton.Attendance at the roadshows was free of charge to ALP members, but but there was a small entry fee for any guests that they brought with them. Subsequently, we were also asked to undertake a similar role for bookings for the ALP Annual General Meeting in May 2011 and March 2012.
Objectives
- to lighten the administrative load on the client's staff by handling roadshow enquiries and bookings
- to set up a process for taking bookings by email and by telephone, issuing booking confirmations
- to take card payments over the telephone and issue invoices
- to maintain a list of bookings
- to handle changes and cancellations to bookings
- to provide our client with regular reports on the progress of the bookings
Delegate Management Process
Approximately 300 delegates booked places at the roadshows. Make Our Day Events handled all the bookings and other enquiries which were made either by email or by telephone.
We created a dedicated address for handling the emails and set up a script to identify ALP callers as soon as we answered the telephone.
All calls and emails were recorded in a database as they happened. Companies wishing to book roadshow places were verified against a list of ALP members, with any queries being referred back to our client. Confirmation emails were sent out at the end of the day.
Card payments were taken over the telephone and recorded in the database. Invoices were raised daily and emailed out to the members responsible with a copy to our client for their records.
A few delegates had to cancel bookings because they were affected by the disruption to air travel caused by the eruption of the Icelandic volcano Eyjafjallajokull around this time. Make Our Day Events also handled the cancellations and recorded the changes in the database.
The client received a copy of the bookings database once a week.
